About backup

In the desktop application dashboard, you can back up folders that are located on your computer but outside of your HCP Anywhere folder. When you back up a folder, the folder remains in the same place on your computer but is:

  • Copied to the your HCP Anywhere account.
  • Kept up-to-date and synchronized with HCP Anywhere. This means that any changes that occur in a backup folder, such as adding or deleting a file, also occur in HCP Anywhere.

You can edit backup files and folders on your computer but not in HCP Anywhere. This is ensures your files can only be edited from one location — your computer — and are ready to be recovered as is at any point. You can view and download your backup files and folders in the User Portal and mobile applications. Since backup folders are already on your computer, they do not appear in the HCP Anywhere desktop application folder.

Note

  • Your organization may not have backup enabled. If backup is disabled, the backup section of the dashboard is gray and inaccessible.
  • In some cases, your organization may have disabled the desktop application dashboard. If the desktop application dashboard is disabled, the backup option, if enabled, appears in the desktop application icon menu.

Backup folders on your computer

When you back up a folder on your computer, the folder continues to looks like any other regular folder. It does not have an identifying icon as a backup folder does on a Windows computer.

Accessing backup files and folders in HCP Anywhere

If the desktop application has backup enabled, a folder appears in HCP Anywhere. The folder looks like this:

This is the backup parent folder. The items you back up appear in this folder. The backup parent folder has the name of your computer and a shield icon so that it is easily identifiable. For example, if the name of your computer is USWAL-JSMITH, the backup parent is also named USWAL-JSMITH.

Each computer has its own parent folder. For example, if you are using the backup feature on two computers, two backup parent folders appear in the User Portal. This keeps the backup files from a single computer together in a single folder. The files you back up use your HCP Anywhere storage space.

Working with backup files and folders

  • You can delete backup folders using the desktop application dashboard but cannot delete them in the User Portal or mobile applications unless your desktop application is first deregistered.
  • You can move and rename the backup parent folder.
  • You can add and edit backup files and folders on your computer but not in HCP Anywhere. This is ensures your files can only be edited from one location — your computer — and are ready to be recovered as is at any point.
  • Backup files and folders do not appear in the HCP Anywhere desktop application folder since they are already on your computer.

Sharing backup files and folders

  • If link sharing is enabled, you can share links to your backup files and folders. Links to backup folders are read-access only. A user who receives a link to a backup folder cannot upload files to the folder.

For more information on sharing links, see Creating links.

  • Backup folders cannot be converted into shared or team folders.
