Working with shared and team folders

In your HCP Anywhere folder you can work with shared and team folders as you would any other folder on your computer. However, some special considerations apply to moving, deleting, and synchronizing shared and team folders.

Synchronizing folders

Synchronization affects shared and team folders different based on the type of application (Windows or Mac) and the version of that application.

All Mac and pre-3.0 Windows apps:
When you sync a folder, it appears in your HCP Anywhere folder but also uses space on that computer. When you stop syncing a folder, it no longer uses space on your computer and does not appear in the desktop app.
Windows app 3.0 or later:
Syncing a folder has no effect. The 3.0 and later Windows desktop app uses the concept of remote and local files for managing space. You can configure whether a file or folder is local (uses space) or remote (does not use space) directly in the desktop app.

Editing shared and team folders

For the most part, you can work with shared and team folders like any other folder in HCP Anywhere, although some special considerations apply to deleting and moving shared and team folders.

Shared folder considerations

When you move a shared folder, the following considerations apply:

  • You cannot move a shared folder into another shared folder or team folder.
  • When you move a team folder outside of the HCP Anywhere folder, the folder is no longer shared but continues to display the team folder icon.

When you delete a shared folder, the following considerations apply:

  • If you are the Owner of the shared folder, the folder is deleted from both your HCP Anywhere account and the HCP Anywhere accounts of the other folder members.
  • If someone else is the Owner of the shared folder, the folder is deleted from your HCP Anywhere account, but not from the HCP Anywhere accounts of other folder members.

Team folder considerations

When you move a team folder, the following considerations apply:

  • You cannot move a team folder into another team folder or shared folder. If you do:
    • You are removed from the team folder and the team folder becomes a regular folder in your HCP Anywhere.
    • If you are the last manager in the team folder, the folder is removed to the Home (top-level) folder. The last manager cannot leave a team folder.
  • When you move the team folder outside of the HCP Anywhere folder, the folder is no longer shared but continues to display the team folder icon.

When you delete a team folder, the following considerations apply:

  • The team folder is deleted from your HCP Anywhere account, but not from the HCP Anywhere accounts of the other members of the folder. However, the last Manager of a Team Folder cannot leave the folder.
  • If you are the last Manager of a team folder and attempt to delete it from the desktop application, the folder is not deleted. Instead, the folder becomes a remote folder.

Note

Even though the last Manager of a team folder cannot delete the folder like a regular folder, the last Manager can still:
  • Invite another person to folder as a Manager.
  • Delete the team folder in the Manage Shared Folder window in the User Portal. For information on doing this, see Deleting a team folder.

Member roles

Each person has a role in each shared and team folder (Viewer, Collaborator, or Manager). You can see this role in the User Portal. If you have the Viewer role in a shared or team folder, do not make a changes to shared or team folder files in your HCP Anywhere folder. Viewers can only download files in the shared or team folder, but not edit, move, or rename the files and folders in the shared or team folder.

If the desktop application is running, you are denied permission to change these files and folders. If the desktop application is not running and you make a change to these files and folders, the items become unsyncable () the next time the application starts.
